Office manager demands all maintenance requests to go through their ticket system and not verbally, maintenance complies, but what happens when the building floods?: 'I told him they needed to submit an emergency ticket through the portal'

I do building maintenance at a multi tenant office park and one of our bigger tenants had a site manager who was constantly stopping my guys in the hall or texting their personal phones about little stuff. Stuck blinds. Moving a desk. Changing a light bulb. Nothing that couldn't wait five minutes. We usually helped because it was easier than arguing with her.
A flood that involved a couple of buildings.
Then one of her employees managed to spill coffee on a server rack while moving a power strip around. Somehow this became our fault and she complained to my director and HR that our guys were doing unauthorized work in their space. Her email basically said that from now on we were not allowed to take verbal requests from her employees. Everything had to go through their formal work order

system. My director forwarded it to me and said to follow it exactly. So I did. A couple days later the HVAC supply valve on her floor failed and started dumping water into the utility room. One of her employees came running downstairs yelling that the floor was flooding.

I told him they needed to submit an emergency ticket through the portal because I wasn't allowed to accept verbal requests anymore. He ran back upstairs. It took them about 12 minutes to get the ticket submitted and routed to me. Then I went upstairs and shut the valve off.

By then the water had already spread across the carpet and into the walls around their offices. The site manager completely lost it and asked why nobody had acted immediately. I pulled up the email she had sent and showed it to her. She wasn't happy. Neither was her insurance company apparently.

RunningAtTheMouth I tell people all the time to put in a ticket when they talk to me while I'm working on something else. It's not that I'm trying to be a j - far from it. Frankly, I won't remember the thing by the time I get back to my desk & am ready to start the next task. I've been that way for 40+ years - awful memory for things like that.

That said when I get a call for an emergency, I'm THERE. And management doesn't interfere. They know what works, and we work very well together. Tickets and the ticketing system are valuable tools. But that's all they are. Mandating use of a tool without exception is a failure. Said manager failed.

mycheeksarecold I'm a "mere" janitor, i frequently need my vacuums or floor scrubbers repaired by "building maintenence". For some reason, as I'm part of the "maintenance" crew, i have no other avenue beyond storming the in- building maintenance office and hoping someone is there at the moment. Others can put in issues into a queue via the webserver. I have no access to this as i am maintenance. Couldn't find anyone tonight to fix my

vacuum (which just needs a screw that holds the handle somehow wiggled free and vanished (likely inside the vacuum bag and im not digging it out) so the handle doesn't twist and break further, and this vacuum was "brand new" when we got it in May '26, i hate sanitaire products...)

Tbf were a company with multiple buildings and im in the building that is notorious for being lazy as f and i do reap those benefits (play video games while clocked in) so this is very mild complaining.

residents the contact info to HUD. Now, I've got a email responses from my regional VP with my regional asking on it, a forwarded response from HUD about what's going on & what can I tell them. I answered in that same email, that we have several buildings with active leaks when it rains & it's been going on for this long & blah blah. I've gotten no response back. Im sure that went over like a lead balloon.
